There may be only a few hours between a room being vacated and the next arrival, and very few guests stay long enough to be asked a follow-up question.
That means the useful information has to be gathered by whoever is on the desk at the moment the report is made. If it is not written down then, it is gone with the next flight.
A Report on the Night Shift
Give night staff a short, printed routine so they are not deciding what to do at three in the morning. Something like this:
- Offer the guest another room on a different corridor, and ask them to keep their luggage closed.
- Put the reported room out of sale on the system straight away, with a note of why.
- Leave the bed as it is; photograph anything the guest points to, with the room number in shot.
- Record the guest’s name, the time and their departure time or flight if they offer it.
- Tell housekeeping in writing that the room is not to be serviced until it has been looked at.
- Ring us when the day team is in, with the photographs ready to send.
Keep a copy of that routine with the fire and first-aid notes at the desk, so a new starter on their second night can follow it.

Fitting Treatment Between Check-Out and Check-In
With nightly turnover, the room is worth more in service than out of it, so the treatment choice usually comes down to how many nights you can lose. Heat is generally one visit and the room can be let again once it has cooled. It takes most of a day, so the room will normally miss one night’s sale rather than several. A chemical course costs less, but it means two or sometimes three visits ten to fourteen days apart and the room kept empty until it is dry each time. For a room that is resold every night, that rarely fits. We will say so rather than quote you the lower price.

Airport hotels are often built as long runs of the same room, stacked floor on floor, with service risers running between them. When a room is reported, check the rooms beside it, opposite it across the service void if there is one, and directly above and below.
