When the Hotel Is Full for a Show
During a large exhibition at ExCeL or a big evening at the London Stadium, a hotel may have no spare rooms to move a guest into. That changes the first decisions. Have a plan written down before it happens: which room you would free up, who on the night shift can make that call, and where a guest's luggage goes while it is dealt with.

Exhibitors and Their Cases
Exhibitors often stay for the build, the show and the breakdown, with display cases, sample bags and boxes of leaflets in the room. Anything that sits on or near a bed for a week can carry bedbugs in or out. If a report comes from one of these rooms, ask the guest not to take the cases back to the venue or into a vehicle until they have been checked.

A Report After the Guest Has Flown
With an airport minutes away, some guests leave before breakfast and only mention bites in an email a few days later. By then the room may have been turned over and sold twice. What to do:
- Find out which room it was and who has slept there since. Take it off sale now, not after the next checkout.
- Do not strip it again or send housekeeping in with a trolley. Leave it for inspection.
- Look at the housekeeping records for anything noted on that floor, such as marks on linen.
- Reply to the guest politely and in writing. Do not argue about whether it happened, and do not promise anything about the rest of the hotel until the rooms have been checked.
- Book an inspection of that room and the rooms around it.

- What spotting and live bugs look like on a mattress seam and a headboard.
- Bag linen in the room, not in the corridor.

- Luggage held for guests who have checked out should be kept off the floor and away from soft seating.
